A way to download all data for a center and the program at once, rather than table by table, where you have redefine the time frame and center for each individual table?

 

When you download to Excel Spreadsheet, create a header row at the top identifying the report?

 

Reports that have subtotal and total fields, those fields don’t translate correctly when exported to Excel.

 

Can we format the reports to get column totals at the bottom as well as the Total Ethnicity and Total Rural/Urban?  See Reports: P1A, P2A, P4, D5A,

 

On the Activity Assessment form, and corresponding reports, what does “STUDENT-Not Applicable” mean?

 

The numbers for teacher /counselor reported on P1B are not the same as reported on P4.  Why is this?

 

Can we create a mechanism in iAHEC to collect the supplemental data required by the feds on CE events (participant cost, etc). 

  • See DSCPH 6A

 

Custom reports:

  • A way to view individual participants of all longitudinal HCP programs and/or individual longitudinal programs.  Something that identifies student name, contact info, program(s) attended.
  • A report for community faculty that includes contact info (for mail, email purposes)
  • A report for community faculty that identifies the number of students hosted and training hours supported, so that you don’t have to go into each faculty worksheet to pull this info.
  • A report for student/residents that includes contact info (for mail, email purposes)

 

Is there a way to validate some fields to improve data entry accuracy.  For example:  On the P2 tables, the Total Ethnicity and Total Rural/Urban columns should equal the same number, but I’ve found instances where they don’t.  It would be helpful if the system would pop-up an error message so that this had to be fixed before the user could move on.  There are probably other instances where this feature would improve the integrity and reliability of our data. 

 

Also would be helpful for identifying legislative districts for organizations.  I would make this a mandatory field that has to be entered.  We’re not able to give accurate reports to our legislators about what is going on in their districts because these fields have been left blank.

More feedback about iAHEC.

We’ve had some additional questions come up about reporting educational events on the D tables.  There are some instances where not all participants at an educational event will receive CE credit, or depending on the discipline participants may receive different hours of credit.  The activity assessment sheet does not have a way to notate this occurrence.  It only allows for an all or nothing reporting of CE credit issued.  How have you all addressed this in East Texas?  Do you complete the activity assessment sheet multiple times to cover all participants?

What would you think about amending the form so that we could identify CE credit issued and hours of credit by discipline?  So instead of one check box for CE credit, there is a checkbox and hours field for each discipline of attendee, which would populate the appropriate D5A or D5B table?

Also, on D7B, what exactly is this table trying to convey?  It shows total number of participants, total hours of credit and total hours of programming—but not all of the participants listed on this table have completed the hours in the corresponding CE column.  I think it would be easier to understand this table if the non-CE receiving participants are broken out by discipline.

Or at least possibly include a description of what the D7B table is showing.  Without a description, it is hard to understand what these numbers mean, and why they can’t be compared to the D5A and D5B, which breaks out the non-CE by event but not by discipline.  It is not apparent that not all participants received the number of CE credit hours listed in the corresponding field.

Re the great ISD debate
1. Ignore the instructions to add ISDs.  Turns out Mouyong turned off regular user access to enter new ISDs because we were getting a lot of duplicates which affected the reports.  Remember to always, always check for an org or person before you add them.  As of now, only administrators can enter ISDs, so send your new ones to Laura.  We'll re-visit this issue later.
2. The ISDs were added at the request of HCP coordinators.  They are not connected to fed reports, but Steve & Mary do use those numbers for advocacy and other initiatives. 
3. We do need to record the other types of schools.  We discussed adding these categories, but not sure just where/how yet.
4. How about these school categories - remember less is best
  public ISD
  public non-ISD
  private (includes faith-based)
  charter / magnet  (are they private/public, what's their difference, should they be separate or together?)

Methinks it's time for another training session for each workgroup, to orient new coordinators and refresh our veterans.  We'll get those set up soon.

Just an FYI, but in some cases we go to private schools and they don't have ISDs, so some schools will be without districts.
